Job Description:

The School of Business and Technology seeks a Coordinator to provide administrative and project management support to International Trade and Marketing Department. The incumbent will assist the Department Chair in managing the day-to-day operations of the department and other related tasks.

Essential Functions:

Administrative Tasks:
  • Organize, prioritize, review, and maintain office records and forms as well as attend, compose, and plan for department and advisory board meeting agenda and Minutes.
  • Coordinate with Human Resources and new faculty on the submission of required documents as well as preparation and circulation of action forms for hiring and related personnel activities.
  • Assist in working with and keeping records of curriculum changes as well as filling out the curriculum innovation forms, change of major page, new course cover page, and any other relevant information.
  • Use Banner/ Brio to retrieve information for reports used by the department, School, or College.
  • Input faculty pedagogic in Banner.
  • Ensure that faculty and staff office hours are set up properly and posted timely.
  • Coordinate the department's tenure and promotion process, scheduling and announcing peer observations and meetings, obtaining student evaluations, preparing the ballots, reappointment and promotion forms, circulating them for approval, and submission.
  • Assist faculty with preparation of action forms, change of grade, change of programs, and any such assistance required.
  • Contact faculty and students when courses are canceled as well as prepare the related forms for action to be taken within the College.
  • Track funds in the department's budget and FIT Foundation accounts.
  • Obtain invoices and prepare expense forms as needed for faculty.
  • Coordinate the preparation and distribution of student orientation slides and handouts as well as ITM faculty teaching guidelines.
  • Coordinate with the faculty, publisher, and FIT bookstore, necessary, in maintaining and updating course materials and books.
  • Attend workshops for change in FIT programs and/or to develop further skills, as needed. Keep the ITM Chair informed of tasks and developments.
  • Answer and appropriately handle incoming calls, greet students, and visitors.
  • Handle confidential information and materials.
  • Update student, alumni, and industry listservs every semester.
  • Assist in the coordination of the department alumni contact information bank including updating of their addresses, positions, affiliations, etc. as well as in their activities involving the department.
  • Assist in the coordination of the department's mentoring program including posting of the announcement, solicitation of mentors and mentees, and maintenance of records.
  • Coordinate the department's field trips including confirmation of the destination; preparation, distribution, posting of the flyers; arrangement of transportation, student sign up,
    collection of details, execution of release forms; conferring with host; as well as maintenance of camera, preparation of photos; and drafting thank your notes and recognition certificates.
  • Coordinate the department's scholarships including preparation, publishing, and distribution of the announcements and applications in consultation with the ITM Chair, FIT Foundation, the Office of Enrollment Management and Student Success, the honor, the students/applicants, as needed.
  • Coordinate, generate, and post ITM news; faculty, advisory board, scholarship, and any other information to be placed in the department's website, Facebook, LinkedIn and Instagram social media as well as FIT Newsroom, Hue magazine, including drafting of text and captioning of photos, as applicable, and assist coordinators of practicum, mentoring, and other programs.

Industry Specific Tasks:
  • Research, compile, compose, and review with ITM Chair information for distribution to industry partners.
  • Gather information from industry partners to create professional presentations and promotional materials.
  • Work directly with industry partners on planning, scheduling, and implementing aspects of the department initiatives.
  • Assist in maintaining contacts with national partners and resources to support continued participation in the department's events, sending of internship and career listings to coordinate potential job placement opportunities.
  • Attend industry events, such as those sponsored by the US Fashion Industry Association and Gemini Shippers Association, etc. both on and off campus on behalf of the department.
  • Work independently on coordinating different aspects of departmental industry projects, such as Talking Trade @FIT and Sustainable Global Sourcing forums.
  • Coordinate all logistics of the department's Talking Trade @FIT guest lectures including preparation of flyers; releases, bios, and photos from speakers; videotaping and editing set up; collection of presentation materials; preparation of program and recognition certificates.
  • Solicitation, training, and organization of volunteers; maintenance of camera and development of photos; drafting thank you notes; and coordinating with facilities.

Requirements:

Minimum Qualifications:
  • Bachelor's degree required.
  • Minimum of 3-5 years of administrative work experience.

Knowledge, Skills and Abilities:
  • Strong computer skills, including proficiency with document organization (Google platform preferred), Mail, Word, Excel and PowerPoint.
  • Demonstrated flexibility, professionalism, and ability to effectively build relationships with peers and industry professionals.
  • Strong organizational and problem-solving skills.
  • Must be a self-starter with the ability to prioritize effectively.

Preferred Qualifications:
  • Working knowledge of Banner, Blackboard, Brio, and Finance Enterprise.

The position is on campus, primarily in an office environment.

Additional Information:

Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.
Salary Schedule 93
Hiring Salary: $66,187 per year
