Position: Studio Manager & P/A to Creative Directors

Reports to: HR Manager

Location: E8, London

Role Objective:

To provide comprehensive support to Creative Directors and studios while having responsibility for front of house and reception duties. You must adopt a flexible approach to your responsibilities, carrying out ad-hoc duties according to the studio needs. You will be the face of the company and the main point of contact for all staff and external guests. 

Key Responsibilities:

Provide PA support to the Creative Directors and Deputy Creative Director inclusive of but not limited to:  day-to-day errands and personal requests, diary management, and travel arrangements .

Ensure all front of house areas and meeting rooms are well presented in line with the company image

Arrange all mail and international and local couriers

Arrange taxis and chauffeurs for guests and staff

Order and distribute stationery to staff including ordering business cards and company letterhead etc.

Book cleaners and ensure all common areas are kept tidy.

Book studio security and organise handover of keys and information 

Work in conjunction with HR and IT to prepare equipment for new starters and exit process for leavers.

Event planning for company functions and special events

Ad hoc administrative support to other Senior Managers and Designers

Book models and stylists within a specified budget for fittings and provide hospitality during fittings and meetings etc. 

Seasonal tasks in relation to preparing and executing two runway shows per year in collaboration with other team members inclusive of but not limited to: the set up and smooth running of the design room during the pre-show weekend, organising food and drink, arranging hair and makeup tests, packing the collection with excellent attention to detail, arranging delivery of the collection to/from the show venue, ordering materials and items for the show box/ dressing packs, preparing an event brief for staff etc. 

Deal with all concerns from staff in relation to building or equipment issues and organise repairs promptly

Organise the servicing of equipment, machines, and general building maintenance in a proactive manner keeping track of important dates and warranties etc.

Project manage studio renovations and special projects linked to improving the work environment

Act as the main point of contact for the studio alarm company/keyholding company – and respond promptly at all times to any security issues Act as the main point of contact for the landlord and building maintenance

Contact external services such as: waste removal, recycling, water delivery

Any other reasonable requests to ensure the smooth running of the studio and reception area

Stock control of office consumables

Minute taking

Health & Safety - Oversee, implement and record all in relation to Health & Safety. Inclusive of studio security and staff well being.

Skills Required:

Computer literate including excellent knowledge of Microsoft packages (Word, Excel, PowerPoint)

Previous experience in a similar role that has required prioritising, multi-tasking and dealing with competing demands

Ability to be discreet, confidential and reliable at all times

Language skills, preferably French and/or Italian (not essential)

A good communicator with the ability to interface regularly with internal and external personnel at all levels

A problem solver and solution orientated individual with a ‘can-do’ attitude

A strong team player and considerate of colleagues
