JOB SUMMARY

Responsible for orders coordination work between Finance, wholesales, customers, logistics, warehouse and forwarders to proceed shipments and ensure goods deliver to customers promptly in order to meet with their delivery expectations, review and confirm L/Cs, check credit status of our customers, prepare and follow up bank documents for L/C collection payment and ensure efficient, timely and accurate payments of our accounts. Provide sales support and ensure all customers enquiries, requests and problems are met and resolved in a timely manner in order to achieve a higher customer's satisfaction.

RESPONSIBLILITY

Orders Processing
  • Maintain a close collaboration with NY wholesales team to perform sales support for order processing.
  • Send sales order confirmation for customer's review and acceptance
  • Check thoroughly for the confirmed orders and ensure they are updated in system before shipment.
  • Follow up with customers for opening L/C and arranging prepayment before shipment
  • Check and review credit status of customers, update L/C and payment status to Finance, Logistics and wholesales team in order to arrange credit release for pack and hold goods in advance
  • Once the prepayment is received and L/C is on hand, inform logistics/warehouse to release goods for shipment immediately


Orders Shipment Coordination
  • Handle all related orders shipment coordination work (HK and NJ)
  • Perform daily communication, coordination and work closely with customer, logistics team, warehouse and forwarder to ensure goods deliver to customers promptly without delay
  • Consolidate a list of ready goods to customer and obtain shipment approval, inform warehouse to proceed for shipment as per customer's shipping instruction
  • Prepare and send documents (invoices and packing lists) to customers, warehouse and forwarders immediately after shipment to maintain a smooth process of custom clearance and I/E declaration
  • Check the booking details and confirm the shipment airway bills and/or bill of ladings to ensure the contents are matched with the L/C without discrepancy
  • Follow up shipping documents and prepare a full set of bank documents for collection of L/C payment


Customers Enquiry
  • Handle and follow up all customers' enquiry and outstanding issues on all orders delivery and solve the problems promptly to satisfy their needs
  • Follow up on shipment discrepancy claims, inform warehouse/shipping/ vendors to check against the case, arrange Credit Note to customer and Debit Note to parties involved
  • Follow up on goods return to warehouse and arrange credit memos to customers
  • Coordinate and follow up on urgent orders delivery, keep track with production/warehouse/shipping departments and update goods status with customers, ensure goods must arrive on time and deliver to customer without delay


Handling spare parts
  • Handle spare parts requests for wholesales customers, coordinate and follow up with related departments or vendors to arrange a quick possible supply of spare parts
  • Prepare Pro-forma invoice and arrange parts deliver to customers promptly to perform quality customer service to satisfy their request
  • Keep track of the parts availability and follow up outstanding parts requests
  • Update records and keep a spare part stock list to ensure a prompt supply as per customer's request


Others
  • Provide training for subordinates to handle customer's orders, shipment and problem solving.
  • Oversee team's work flow and provide support and advice whenever there is a need
  • Act as a backup for subordinates


EDUCATION & PRIOR EXPERIENCE NEEDED
  • Extensive experience in similar capacity preferably
  • Responsible, self-motivated, independent, detailed-minded
  • Good command in both spoken and written English and Cantonese
  • Strong communication skills to deal with internal/external customers
  • Proficiency in MS excel, word and SAP
