Job Description:

The Administrative Secretary will provide a broad range of secretarial and administrative support to the Communications Design Pathways Department. The incumbent will assist the Department Chairs and Coordinator in managing the day-to-day operations of the department and other related tasks.

Essential Functions:
  • Perform daily office administrative duties including but not limited to: greeting and directing visitors, answering phones, maintain department office files, mail distribution, attend department meetings and take minutes.
  • Collect course syllabi and tentative teaching assignments.
  • Distribute course schedules and post faculty office hours.
  • Maintain faculty absences in FARS and coordinate with Chairperson/Department Coordinator on substitute instructors.
  • Submit Faculty Extra Hours reports to Chairperson and Dean's Office.
  • Assist with purchase requisitions, vouchers, travel and expenses in Finance Enterprise.
  • Gather department accomplishments for President's report.
  • Maintain department contact list and telephone directory.
  • Coordinate maintenance of studio equipment, including all locker inventory and repairs.
  • Assign student lockers, maintain inventory records and manage payment requests.
  • Receive and catalog new studio equipment.
  • Maintain open studio schedule and check out equipment for students.

Requirements:

Minimum Qualifications:
  • Associate's degree required.
  • Minimum of two to four years of appropriate experience. *In Lieu of degree, additional years of experience may be considered.

Knowledge, Skills and Abilities:
  • Ability to maintain a high degree of confidentiality and discretion.
  • Strong organizational skills and experience with organizing or contributing to office procedures.
  • Must be a self-starter with the ability to work both independently and in a team environment.
  • Demonstrated experience working with Google Platform, Microsoft Office Suite (Word, Excel, PowerPoint) and Pivot Tables.

Preferred Qualifications:
  • Bachelor's degree preferred.
  • Five years of work experience in an academic setting.
  • Working knowledge of Banner, Blackboard, Brio, and Finance Enterprise.

The position is on campus, primarily in an office environment or classroom.

Additional Information:

Days/Hours: M-F, 12pm-5pm, in person (25 hours per week); work schedule subject to change based on needs of the department.
Salary Schedule 90
Hiring Rate: $31.92 per hour
