The Executive Assistant will provide high level administrative support to the Vice President.

What you can expect:

  • Provide high level administrative support to the Vice President, Distribution.
  • Create daily itinerary that includes contact numbers, meeting locations, etc. and memos, meeting agendas and other correspondence
  • Prepare presentations
  • Manage Executive's business/personal calendar and schedule appointments
  • Arrange travel plans and itineraries
  • Screen incoming calls and correspondence, determine level of priority and respond independently when appropriate
  • Perform various administrative/clerical duties such as updating directories, expense reports, faxing, copying, mail, proof reading and filing
  • Administer and keep track of all Paid Time Off and Travel requests of direct reports
  • Compile and interpret data/information from respective business units
  • Establish and assemble basic weekly reporting
  • Create binders and other files, as requested
  • Manage Quarterly Meetings
  • Coding and management of Invoices
  • Working knowledge of the Executive's Duties and main contacts
  • Effectively work with business partners at every level across the organization
  • Maintain confidentiality of all corporate, personnel and financial matters
  • Special projects as directed


Your profile:

  • Bachelor's degree or equivalent years of experience
  • Minimum 5 years Administrative experience
  • Strong MS Office skills (Emphasis on Excel and PowerPoint)
  • Exceptional written and verbal communication skills
  • Ability to interface with Executives/BOM in a professional manner
  • Ability to multi-task and set appropriate deadlines and priorities
  • Excellent organizational, time management and project management skills
  • Be proactive and take initiative
  • Organized, independent, and self-motivated with strong problem-solving skills
  • Strong follow up skills and attention to detail
