Job Description:

Reporting to Executive Coordinator, the Library Associate provides a wide range of administrative support for the Library Director's Office and performs high level administrative functions with responsibility for: facilities oversight, ensuring space maintenance, purchase requisitions, calendaring for the director and writing or editing assignments. This position also provides public service support at all library service points as needed.

Essential Functions:
  • Establish and maintain a welcoming and collegial office environment while providing informed organizational knowledge and administrative services.
  • Provide administrative support for the Library Director, including calendaring and communications management, files management, research, travel arrangements; compiles and organizes information for meetings, reports and special projects.
  • Use financial management system to process bills, initiate purchase orders, track petty cash, submit travel and business reimbursements for all library units; work on special projects related to the budget.
  • Determine and coordinate library facilities management to meet departmental objectives: conduct weekly facility inspections of physical conditions and signage; submit and track work orders through completion; provide weekly facility reports to library leadership.
  • Provide research assistance and general services at library service desks for students, faculty, and visiting professionals and scholars. Work side-by-side with faculty librarians;
  • Provide in-person and virtual reference services to FIT affiliates and visiting researchers; assist in using printed and online materials, including directories, complex databases and specialized resources.
  • Maintain files and documents in all formats; help ensure compliance with M-1 retention schedules.

Requirements:

Minimum Qualifications:
  • Bachelor's degree required.
  • Minimum of two (2) years of work experience with a high level customer service as a focus.

Knowledge, Skills and Abilities:
  • Must possess highly effective verbal and written communication skills; ability to compose correspondence and prepare administrative reports; Must possess and demonstrate excellent customer service skills.
  • Excellent organizational skills, detail oriented and working knowledge of administrative procedures.
  • Ability to work independently and employ initiative in the workplace.
  • Proficient in Microsoft Office suite applications; proficient in Google suite applications; proficient in online calendaring; familiar with graphic design apps; familiar with social media apps.
  • Proven ability to work within a dynamic and diverse environment.
  • Proficiency in research methods, including navigating online catalogs and knowledge effective search terminology.
  • Familiarity with the holdings of other college libraries, the New York Public Library, and other institutions throughout the country in order to provide patrons with additional research options.

Preferred Qualifications:
  • Experience working in an office environment with administrative assistant duties, in a library and/or in an academic library in any capacity is preferred.

Additional Information:

Days/Hours: M-F, 9am-5pm, in person; work schedule subject to change based on needs of the department.

Salary Schedule 92 ; Successor Agreement (page 7)
Hiring Salary: $60,685 per year
Mid Range Salary: $75,308 per year
Maximum Salary: $87,683 per year
