POSITION SUMMARY:

The Human Resources Coordinator (HRC) will collaborate with the Human Resources team in administering programs that are consistent with corporate guidelines and objectives. This role will assist with multiple facets of HR and will be a great learning opportunity for someone looking to grow into the next step of their HR career.

The HRC, will be responsible for administrative support for all HR-related activities such as new hires, onboarding, performance management, employee relations, leave of absence and policies & procedures, primarily for our retail divisions located across Canada. The HRC will assist with Health & Safety incidents as well as implementation of special projects and HR initiatives.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:

Operation and administrative

  • Verifies the integrity and completion of all New Hire documentation to meet or exceed the requirements, including but not limited to: review data for each associate, create and maintain associate electronic files.
  • Completes the necessary associate transactions and ensures all information is processed accurately in the HR System (Workday) (ex: New Hires, Transfers, Salary Increases, Promotions, and Terminations)
  • Identifies any discrepancies and processes the necessary changes in the HR System.
  • Verifies the department's email inbox multiple times a day. Ensures answering general inquiries and dispatching to the right team member.
  • Conducts SIN and work permit expiration date follow-ups.
  • Answers the HR hotline.
  • Liaisons with payroll department as needed.


Health and Safety

  • Supports the HRBP in ensuring provincial Health and Safety legislation is being respected in all our premises across Canada.
  • Reports any accidents to the Provincial and Safety Boards.
  • Follows-up on any accident reports and with the injured employee to ensure prompt return to work.
  • Discusses with HRBP any accident, which may seem dubious and ensure corrective measures are delivered when needed.
  • Coordinates with management accommodation and return to work.
  • Ensures enough employees are trained on First Aid and Joint Health & Safety to comply with provincial safety regulations.


Legislative compliance & internal policies and procedures

  • Understands and advises on internal HR policies and procedures.
  • Conducts research and ensures compliance with all provincial laws in Canada.


Employee relations

  • Assists HR management with day-to-day employee issues or concerns.
  • Supports the coordination and administration of leave of absences.
  • Prepares letters and HR communications as required.


QUALIFICATIONS & EXPERIENCE:

Experience:

  • 1 to 3 years of experience in a similar human resources position within a large company (An asset)
  • Knowledge of an HR system (An asset)


Education:

  • College Degree or equivalent is required
  • Bachelor Degree in HR or Administration (on going)


Skills:

  • Must be perfectly bilingual (spoken and written)
  • Able to work in a fast-paced environment
  • Excellent communications skills
  • Autonomy and discretion
  • Must know when to challenge the status-quo
  • Must be Pro-active
  • Must be able to multi-task and be flexible
  • Must be able to focus on the customer needs without losing sight of corporate objectives

  • Proficient with Microsoft Office
