JOB DESCRIPTION
Since 2005, VEJA has been creating sneakers in a different way, mixing social projects, economic justice, and ecological materials. VEJA uses Brazilian and Peruvian organic cotton for the canvas and laces, Amazonian rubber for the soles, and various innovative materials conceived in recycled plastic bottles or recycled polyester. VEJA sneakers are produced in high-standard factories in Brazil. Part of VEJA’s logistics is managed by Log’ins, a professional and social inclusion company.
VEJA is currently looking for an Office Administrator to join our North America team based in New York City. This role will report to People Operations.
JOB OUTLINE
OFFICE RESPONSIBILITIES
- Greet office visitors and direct to appropriate team member(s)
- Coordinate messenger and courier services
- Order and maintain office supply inventory and build partnership with the selected vendors and suppliers
- Receive, sort, and distribute office mail
- Act as liaison for both office and retail store maintenance and repair needs
- Main an orderly and tidy office and showroom always
- Provide support for office services including not limited to copy, scan, and print
- Proactively maintain office filing and storage systems
- Deposit incoming vendor check payments in the bank
- Ad hoc duties as directed
ADMINISTRATIVE RESPONSIBILITES
- Communicate weekly team meeting notes with staff
- Create monthly retail newsletters in conjunction with retail management
- Support VEJA North America management team with expenses, and travel accommodation (as needed)
- Assist with special projects and event planning implementation
- Coordinate team lunches and dinners when necessary
CANDIDATE PROFILE
- Strong interest and commitment to the VEJA project
- This is an entry-level role, however, prior internship with fashion brand, office administration or retail experience is preferred.
- Positive “can-do” attitude, ability to work independently, problem solve and effectively suggest solutions
- Confident knowledge of Microsoft Suite (Word, Excel, Outlook) and ability to engage in ongoing trainings as necessary
- Strong attention to details and interest in improving key processes for office management
- Excellent organization skills, and ability to handle different types of tasks simultaneously
- Clear and concise communication skills; must have strong interpersonal skills to work cross functionally within the North America team, external partners, and Paris HQ (as needed).
- Ability to maintain discreetness with confidential company information
- Bachelor’s degree required, and French speaker is a plus
