Job Details

The Analyst of Procurement Operations is responsible for supporting the diamond, color stone and pearl sourcing teams on daily execution of operational functions to meet evolving business demand. This role will support inventory control of stone assets, including inventory cycle counts and the monitoring of aging inventory. This role will also support compliance and process improvement initiatives, in addition to providing support to sourcing related initiatives.

Key Accountabilities

Productivity
  • Utilize JD Edwards to write purchase orders for diamond, color stone and pearls and execute the supplier distribution of such orders.
  • Perform order maintenance to support issues related to fulfillment of orders timely, including line openings, line changes, cancelations, order reductions and order increases. Partner with Sourcing team to obtain appropriate approval for changes within established guidelines.
  • Support the sourcing team in inventory management activities. Ensure accurate receipt of diamonds, prompt processing, inter departmental transferring, shipping, and dispositioning in/out of the sourcing office; maintain and organize on-site vault.
  • Submit request for item set-up to support new and existing diamond, color stone, and pearl requests. Partner with Product Life Management and Cost Accounting to ensure requests are completed within service level agreements to support evolving business needs.

Reporting & Analytics
  • Monitor aging balances for supplier purchases, establish reporting tools to efficiently identify invoices not submitted from suppliers timely. Partner with Stone Suppliers, Finance and Accounts Payable to ensure timely resolution.
  • Run open PO report for distribution to established cross-functional departments.
  • Review in-transit reports, ensuring receipt of stones is completed within required timeframes.
  • Analyze reports to identify key performance metrics for department and supplier delivery performance. Communicate any potential risk within established guidelines to Sourcing teams.

Compliance
  • Execute daily, monthly, quarterly, and annual cycle counts confirming accuracy according to location on hand totals.
  • Support variance research and report any discrepancies to management immediately. Document risk within inventory management processes and identify opportunities for improvement where necessary.
  • Diamond Provenance, Traceability & Craftmanship - liaise with suppliers to ensure full compliance with Tiffany's sourcing strategy and ensure supplied diamonds conform with company traceability protocols.
  • Manage and gather documentation as requested form Internal Audit, External Audit, and Finance to validate process compliance.
  • Support compliance requirements for ERICA, CODC, and Audit.
  • Ensure relevant record keeping, archiving and data protection policies & protocols are completed within established guidelines.

Continuous Improvement
  • Partner with the Sourcing team to build a culture of continuous improvement to support reductions in lead time and increased process efficiency.
  • As requested by Management, assist with various projects and tasks associated with Sourcing initiatives.

Health, Safety and Corporate Policy Adherence
  • Work safely always by consistently following safe work procedures for your role, as well as all safety procedures required at your worksite. Demonstrate leadership by leading safety process checks & improvement projects in coordination with continuous improvement initiatives.
  • Ensure compliance for Sarbanes-Oxley reporting, audit driven initiatives, key safety accountabilities and Business Conduct policy.

Required Qualifications
  • Bachelor's Degree
  • Ability to manage multiple tasks simultaneously
  • Excellent verbal and written communication skills with the ability to effectively interact with management
  • Comfortable speaking & presenting in front of both management & peers
  • Must be creative, analytical and demonstrate problem solving skills
  • Excellent computer skills and advanced experience using MS Office
  • Ability to establish relationships with a customer service-oriented mindset

Preferred Qualifications
  • Master's Degree
  • Knowledge of or experience within Sourcing operations
  • Knowledge with Tiffany business practices
  • Experience with JDE software
  • Experience with Excel with VBA & Macro reports
  • 1-2 years' experience in Operations
  • Experience working in an environment that practices Six Sigma/Lean concepts

The hiring range for this position ranges from $67,405.00 - $91,195.00. The rate of pay offered will be dependent upon candidates' relevant skills and experience.
