Position Overview
This position will provide primary support to the Head Global Corporate, Securities & IP Counsel and other attorneys on the larger Ralph Lauren Legal team as needed, and is based in Nutley, NJ.

Essential Duties & Responsibilities

* Provide general administrative support including maintaining active calendars, scheduling calls and meetings, filing, scanning, copying, faxing, printing, screening correspondence & distributing mail
* Assist with Board and Committee meetings and logistics, and compiling and distributing Board and Committee books, and management of the Diligent Board Portal
* Communicate with senior management and the Board of Directors on scheduling and administrative matters with discretion and promptness
* Coordinate and arrange internal and external meetings, prepare agendas and assemble meeting materials, reserve and prepare facilities and coordinate with IT and other internal departments
* Draft form documents and cover letters, handle word processing and run redlines as directed
* Assist with document delivery, DocuSign and assemble all documents for execution by internal and external counterparts
* Create & maintain all legal filing systems, shared drives, archives and all computer files
* Organize office operations and procedures
* Assist with production of presentations including PowerPoint and Excel formats by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics
* Track incoming legal documentation
* Process and reconcile travel and expense reports/timesheets
* Determine travel dates and destinations, modes of transportation, and relevant costs
* Assist with SEC and other required filings, as needed
* Maintain office supply and equipment inventories
* Update department reports and database systems and create a variety of reports in specified formats
* Maintain internal and external communication and workflow
* Exercise independent problem-solving techniques to resolve administrative problems
* Other duties as assigned to serve the larger Legal team

Experience, Skills & Knowledge

• Minimum of three years' experience in office administration; or equivalent combination of education and experience
• Prior experience in a legal environment strongly preferred
• Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
• Strong timeline and checklist management skills
• Expert level written and verbal communication skills
• Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, Board members, and external partners
• Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of service and response
• Handles matters expeditiously, proactively, and follows-through on projects to successful completion.
• Strong knowledge of computer systems and applications with high level of proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, Diligent, Legal Tracker and Concur
• Strong ability to multi-task, exercise initiative, problem-solving, and decision-making skills
• Ability to establish priorities and coordinate work activities
• Ability to work in conjunction with all levels of the organization
• Familiarity with SEC and public company requirements is a plus
