JOB PURPOSE
Work closely with the Senior Manager of Architecture to build a global view of projects and processes to ensure clear communication and consistency across teams.
RESPONSIBILITIES
- Help collate and organise technical information about store fixture and architectural details
- Organise and keep the sample of materials in order and up to date
- Keep up to date agenda with submission for the global architecture department
- Understands and responds to the technical implications of design decisions.
- Facilitates project goals of excellence in design, execution, and sustainability.
- Keeping cloud based server up to date
- Build and maintain a close working partnership with Architecture teams globally, across design, construction and workplace services
- Manage the global project list for Architecture, coordinating the top level schedule of project openings and budgets, liaising directly with regional and central partners for updates and information as required, creating/ updating project records & reports. Identifying, calling out and making recommendations to mitigate any risks identified at all stages.
- Dealing with supplier (materials and fixture) to achieve set goals and deadlines
- Raising POs and ensuring all orders and invoices are processed, tracked and monitored against budget
- Prepare researches and presentation packs for internal and external presentations, filing drawing information and key project documentation
- Manage team communications ensuring all teams are well informed and have a clear, consistent view.
- Take ownership and coordinate smaller projects
- Manage Architecture institutional landing page and keep contents updated.
- Own agenda and take minutes at global review meetings
- Stationary orders and general office duties, general administrative support
PERSONAL PROFILE
- Knowledge of manufacturing process (metal, wood, glass, marble, etc..)
- Advanced understanding of planning, programming and design principles and methods.
- Able to manage within a budget with commercial awareness and understanding of cost
- Excellent IT skills - Excel, Word, PowerPoint, (essential), Acrobat, possibly Autocad
- Excellent organisational skills and strong attention to detail
- Experience managing stakeholders relationships, delivering clear briefs and leveraging relationships to meet demands
- Critical path management ensuring projects are delivered on time, identifying, calling out and making recommendations to mitigate any risks/challenges identified
- High level of discretion and confidentiality is required due to the sensitive nature of some of the documents with which you will be involved
- Collaborative team player with strong initiative
