Executive Assistant to the President and Office Manager acting as first point of contact for all visitors to the office as well as communications with the Executive team. This is a forward-facing role ideal for a candidate who is a strong communicator and can easily adapt to varying tasks each day. The primary job will be to provide administrative and scheduling support. In addition to managing the President's requests and providing support to the Executive team, you will also be expected to oversee the operations of the office to make sure things run smoothly for the broader team.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

EXECUTIVE SUPPORT
  • Provide daily administrative support to President and Executive Team
  • Manage calendar and handle all scheduling matters
  • Coordinate all domestic and international travel for President and Executive Team
  • Coordinate the gathering and collation of information for presentations and reports as directed
  • Partner with global Executive Assistants in coordinating Headquarters Executive travel
  • Manage expenses reports for President and Executive Team


OFFICE MANAGEMENT
  • Manage office Receptionist, ensuring a high level of service for corporate visitors
  • Monitor and maintain organization and overall appearance of reception area, kitchen, conference rooms, and other common space
  • Responsible for supply ordering (office supplies, shipping materials, kitchen items)
  • Manage the office general services budget
  • Maintain and update shared office information
  • Manage relationships with building management, including access cards, and communicate any important information to employees
  • Manage relationships with the security company and external cleaning staff and be a point of contact for related matters
  • Manage conference room bookings
  • Assist Repair & Maintenance manager with coordination of office-related work
  • Manage the organizing office events and special projects as needed
  • Performs additional duties as assigned

POSITION REQUIREMENTS
  • Bachelor's degree
  • 1-3 years' experience in Executive support and Office Management
  • Strong communication skills, comfortable and confident interacting with colleagues at all levels
  • High level of attention to detail
  • Proactive in getting projects completed
  • Strong organization skills with the ability to manage projects, prioritize and handle multiple requests
  • Ability to be resourceful and problem-solve independently
  • Ability to work in a fast-paced environment where multi-tasking is extremely important
  • Familiarity or interest in the luxury industry
  • Advanced proficiency with Microsoft Office Suite, with particular strength in Excel
  • Demonstrated successful ability to build positive relationships across the organization
  • Excellent interpersonal and communication skills with the ability to interact with all levels of the organization
  • Ability to handle confidential and sensitive information

ELIGIBILITY REQUIREMENTS:
  • Must be willing to work based on business demands, which may go beyond corporate working hours
  • Must have work authorization to work in the US


For individuals assigned and/or hired to work in New York City, Moncler Group includes a reasonable estimate of the salary rate range for this role. This takes into account the wide range of factors that are considered in making compensation decisions; including but not limited to business or organizational needs, skill sets, experience and training, licensure, and certifications.

A reasonable estimate of the current base salary range is $65,000.00 per year to $85,000.00 per year.
