POSITION SUMMARY:

The AP Associate is responsible for verifying the accuracy of information keyed into the Accounts Payable system and ensuring correct posting of invoices.

PRIMARY RESPONSIBILITIES/ACCOUNTABILITIES OF THE JOB:


  • Maintain large, time sensitive Vendor Master Files.


  • Issuance of new vendor #s & maintenance of existing vendor #s in all global divisions in compliance with Company policies.


  • Review invoices that other AP Associates processed for accuracy and Company compliance.


  • Research, prepare, and input invoices.


  • Prepare, distribute, and assist in resolution of problems of the monthly Debit Balance report.


  • Maintain vendor files and assist in preparation of yearly 1099s within IRS requirements.


  • Handle IRS B-Notices


  • Accesses TIN matching system and resolves any discrepancies of TINs


  • Validates Office of Foreign Asset Controls and Social Security Administration Death Master File


  • Ensure all required tax forms (W9, W8, W8-BEN-E) and/or other required documentation are received and completed accurately


  • Ensure all new vendors were properly verified


  • Reconcile vendor statements.


  • Assist Supervisor to cover desk functions of Associates in their absence.


  • Handle E-mail (including AP shared mailbox) & telephone inquiries.


  • Assist supervisor in other AP assignments when requested



QUALIFICATIONS & EXPERIENCE:

Experience: 3-5 years of Accounts Payable experience

Education: Associate degree

Skills:


  • SAP


  • Knowledge of Microsoft Word, Excel


  • Outlook


  • Strong data entry skills
