Overview

We are looking for a highly motivated Logistics Manager to plan and oversee all in-house operations and logistics. The Logistics Manager will play an important role in synchronising stock movements and logistics across departments, including Production, Wholesale, Finance and Retail. You will oversee all inbound shipments from our Italian manufacturing. You will also be the important first point of contact for our Third-Party Logistics Partner (3PL) and oversee fulfilment.

The Logistics Manager reports into the Finance & Operations Director.

The role is full time and based in our office in London, W1.

Main Duties and Responsibilities

General

  • Oversee stock movements and logistics function (inbound and outbound stock) in the business
  • Main point of contact for 3PL (third-party logistics partner) including working on and providing weekly volume forecasts
  • Main point of contact in the business for any stock related questions and ensure key stakeholders (Wholesale, Retail, Marketing, Finance and Product) are regularly updated on seasonal deliveries and status
  • Initiate and oversee workflow between departments for stock movements
  • Ensure stock related information in the ERP (Enterprise Resource Planning System) and the WMS (Warehouse Management System) is correct and constantly updated
  • Manage relationships with couriers and freight partners and negotiate rates
  • Manage gifting, press loans and staff order program, ensure it is accounted for and reported on correctly to finance
  • Deal with faulty stock and repairs

Finance

  • Work alongside Finance, liaising with wholesale customers regarding Proforma Payments ahead of shipments
  • Provide the finance team with quarterly stock take reports
  • Oversee and manage logistics budget including trackers and supplier invoices

Production

  • Plan and oversee factory deliveries; liaising with Product Team, freight forwarders and 3PL
  • Prepare and file necessary documentation, including packing lists, commercial invoices etc.
  • Manage the AQL pipeline with UK and US warehouses
  • Weekly update and communicate the inbound delivery schedule
  • Liaise duty and VAT payments when needed with Finance team
  • File claims when necessary
  • Create and refresh a freight/margin impact cheat sheet for quick cost analysis to test a more reactive supply chain

PR

  • Manage stock loans for press or photoshoots (outbound, tracking and returns)
  • Send out and ensure all gifting, is accounted for and reported on correctly to finance
  • Book and track courier services
  • Support the creative team on stock shipments for photoshoots

Wholesale

  • Oversee and log all wholesale orders
  • Coordinate deliveries and shipments, ensuring they are fulfilled correctly and on time, liaising with retailers, 3PL and Finance team
  • Book deliveries with retailers
  • Responsible for wholesale return coordination, timely processing and relevant reporting to finance and wholesale teams
  • Book sample collection deliveries for showroom  
  • Monitor retailers’ stock levels, sell through and performance

Retail

  • Manage stock transfers and fulfilment to store(s) weekly, instructed by Merchandiser or Sales team
  • Manage personal orders from private client events and pre order events
  • Logistical support annual sample sales

 

Key Personal Competencies /Skills

  • Previous experience in a similar role with exposure to domestic as well as international freight, including customs
  • Excellent at planning, organizing and prioritizing workload and tasks within a dynamic and fast paced environment
  • Hands on approach and “can-do” mentality
  • Highly analytical and logical with a big picture understanding of stock movements in a business
  • An interest in developing processes and a desire to ensure efficiency and effectiveness
  • Attention to detail
  • Strong communication and interpersonal skills
  • Team player who is adaptable and flexible
