Role: Operations & Logistics Manager

 

Based In: Shoreditch Showroom, remote work not available

Working Pattern: Monday to Friday

Salary: £48-£50K

The Operations & Logistics Manager will drive operational best practices and impact through influence and relationships, working cross functionally to achieve and exceed results.

Streamline and integrate existing processes, with a focus on delivering the best services to our customers and value to the Company.

 

KEY RESPONSIBILITIES:

Customer Experience

  • Work hand in hand with customer services and sales team to ensure the customer expectations and delivery promises are always met
  • Manage performance of all operational business processes and ensure all exceptions are dealt with, within a timely manner updating relevant teams throughout
  • Ensure all orders are correctly packaged (in line with Company standards). Any failures are investigated with all external agencies and are reported and escalated
  • Ensure performance across all operational functions focusing on quality, effectiveness, and accuracy
  • Visit warehouses and work closely with their management teams to ensure we are delivering the best service together
  • Builds and manages Key external stakeholder relationships to ensure maximum return on investment and to deliver company objectives.

Process Ownership

  • Review, plan, supervise and deliver any training relating Brightpearl processes and procedures
  • Ensure compliance of all processes and activities within the Warehouse and adherence to the Global SLAs
  • Resolve urgent order fulfilment issues as they arise, especially related to shipping and logistics
  • Manage performance of all operational business processes and ensure all exceptions are dealt with, within a timely manner updating relevant teams throughout
  • Ensure performance across all operational functions focusing on quality, effectiveness, and accuracy
  • Manage day to day relationships with external 3pls, including regular reviews and discussions pertaining to documentation requirements, reporting and service enhancements, service failures etc, as well as all claims
  • Co-ordinate and record all stock take publishing results to the business. Define and roll out stock movement processes to support the accurate stock, under 1% variance.
  • Ensuring your channel weekly schedule is happening on time with the key daily and weekly tasks being actioned.
  • Complete EODs & EOW reports to ensure Management is well informed of all the depts activities throughout the week
  • Provide business manuals for system and process changes.

Innovation - customer journey

  • Manage all drop ship integrations and monitor and report on performance. Suggest future opportunities to ensure operational efficiency
  • Manage the relationship with a development agency to ensure all company developments and projects are correctly prioritised, delivered on time and into the budget
  • Manage and monitor current and future system integrations, ensuring correct user actions, accurate functional results and business expectations are met. Flag and manage and fixes required within integrations.
  • Uphold company values and ensure the supply chain uses the most eco-friendly materials and methods possible. Liaise with suppliers and 3rd parties to ensure they are continuously updating and researching their eco methods and credentials.
  • Work alongside project teams to ensure we are evolving with all sustainability options i.e.: Packaging and Transporting

Budget saving

  • Ensure stock accuracy across all areas of the business and closely monitor all stock losses to ensure its kept to a minimum
  • Co-ordinate and record all stock take publishing results to the business. Define and roll out stock movement processes to support the accurate stock, under 1% variance.
  • Review monthly costs from 3PL and ensure invoices are correct. Identify areas for cost-saving
  • Annually review and analyse direct cost base by cost type to suggest areas of improvement and potential costs savings. Implement change to achieve this.

Strategic Planning

  • Scope, flag and put into work logistic and operational requirements for planned business expansion.
  • Regularly review business process and tools to suggest developments and improvements. Researching innovative industry developments to ensure House of Hackney stays future proof and can scale to deliver strong growth targets
  • Analyse end to end journeys and the processes used to achieve these. Suggest workflow changes, and scope system developments/requirements to improve these journeys. Work closely with development agencies as well as the internal team to ensure project is delivered in full. Produce training documents to ensure new procedures are understood and adhered to by the team
  • Continuing to analyse the workflow and time management of the wider team, identifying any long-winded procedures or gaps in process, and working with them to improve these.

Team management

  • Manage a team of 2 logistics executives to deliver department SLAs.
  • Set clear department targets and goals for the team to deliver.
  • Review department performance, roles and responsibilities ensuring the workflow makes sense as the department grows and evolves.

Required Skills:

  • Experience in managing a team of at least 1 direct reports
  • Highly numerate and analytical
  • Experienced systems/ ERP user
  • Strong logistics background- at least 3 years logistics experience
  • Detail orientated
  • Problem solver with an inclination to challenge processes in order to strive for improved efficiency and output
  • Self motivated to drive a department and lead change
  • Excellent communication skills
  • Advanced excel skills
  • Competent understanding of business end to end order journeys and challenges
  • Strong management skills to develop team and ensure department efficiencies and that working practices are upheld
