Job title: Facilities Management Coordinator (m/f/d)

Based at: Ingolstadt Village

POSITION SUMMARY

The Facilities Management (FM) Coordinator's initial focus will be setting up a new FM system, Planon, for Ingolstadt Village. Once the system has been setup, they will then have the following operational responsibilities:

KEY RESPONSIBILITIES

1. FM operations

• Ensure that all planned preventative maintenance and reactive (breakdown) maintenance tasks are generated from and completed in Planon, liaising with maintenance suppliers as necessary
• Ensure that asset (equipment) data remains complete and accurate in Planon
• Monitor and report on FM and sustainability metrics, including performance against targets
• Assist with the review of FM risk assessments and method statements
• Ensure all statutory requirements and documents are up to date in Planon
• Contribute to strategic FM operational planning
• Generate reports that supports asset life cycle planning

• Communicate effectively and develop positive relationships with key stakeholders - colleagues and maintenance suppliers
• Seek out opportunities for professional development

BACKGROUND & SKILLS

Essential

• At least 12-24 month's experience in a facilities management environment
• Good knowledge of assets (buildings / equipment) typical of a retail environment
• Appreciation of safe systems of work (health and safety)
• Strong attention to detail
• Excellent interpersonal skills
• Proactive, with the ability to set own work agenda
• Very good in English and German, both written and spoken

Desirable

• Experience of working in the luxury hospitality, commercial or retail environment
• Experience of Planon or similar FM system
