Wholesale Operations Coordinator

BITE Studios is looking for a Wholesale Operations Coordinator to join the Gothenburg or Stockholm Office full time. In this role, you will be responsible for ensuring the smooth running of all wholesale accounts and execution of the logistics operations within Wholesale and E-com by providing a first class customer service experience to our worldwide customer base. You will work closely within our sales & production teams and will report to the Wholesale Operations Manager.

The role 

• End-to-end management of Wholesale & Ecom orders, to ensure they are accurate and meet deadlines
• Customer service functions including managing in stock movements for re-orders, swaps, RTVs., general inventory management
• Oversee 3rd party warehousing partner and ensure all orders are processed according to the agreed SLA
• Regular use/implementation of different systems; Zedonk (ERP system), Joor (B2B processing system), Shopify (Ecom system), WMS (Warehouse management system)
• Enable partner requirements for international orders such as duties, incoterms, shipping manuals, GEO price, EDI, Pre-ticketing and finance
• Pre-season preparation to ensure all required data is updated in JOOR linesheets and ERP Zedonk
• Ensure new customer set-up requirements are collected and executed in time
• Process ATS-lists and in season reorders to drive stronger sales with partners
• Manage AR follow-up and reports together with finance to ensure on time payment
• Develop and enable collaboration/communication with key stakeholders, both internal and external
• Work cross functionally with Wholesale Sales & Operations teams, Buying & Production, and Warehouse management on order discrepancies, backorders, and/or shipping anomalies
• Evaluate current processes in a constructive way and initiate change to create systems and process efficiencies
• Act as an ambassador for the brand, demonstrating excellent product knowledge and always communicating professionally
• Support senior staff with key reports, data and other requirements
• Set KPIs and follow up on them
• Daily ad-hoc assignments

• Bachelors degree in Economics, Finance, Business or similiar equivalent
• 1-2 years experience in either Sales/Buying/Logistics/Coordinating, from the fashion industry
