Job Details

Are you a master organiser with a knack for multitasking and a passion for ensuring smooth office operations? We're seeking an Office Coordinator to be the heartbeat of our workspace, managing various tasks and keeping our office running.

 

Responsibilities:

Logistics Management: Handle incoming and outgoing deliveries/post.

Oversee perishables, stationery, food, and drink orders on a weekly basis.

Equipment & Storage Management: Responsible for office equipment and storage units.

New Starter Onboarding: Manage fire/health safety protocols for new hires.

Brand Archive Custodian: Maintain and organise the inventory of our brand archive.

Frontline Hospitality: Act as the point of contact for reception, warmly greeting and assisting guests.

Office Maintenance & More: Handle office maintenance and dive into ad hoc tasks as needed.

Event Planning Expert: Lead the planning of companywide social events, leveraging your project management expertise.

Systems Implementation: Drive the implementation of new organizational tools and systems.

Coordinate with building management and external studio suppliers.

Monitor studio-wide payments via credit card/petty cash/expense management.

Travel Coordination Support: Assist in organising companywide travel arrangements.

Flexible Support: Provide ad hoc assistance to other departments as needed.

The candidate:

Prior experience in office coordination or a similar role is preferred.

Project Management Skills

Ability to multitask, prioritise, and maintain meticulous attention to detail.

Strong interpersonal skills for liaising with various stakeholders.

Thrive in a dynamic, fast-paced environment, and tackle challenges with a proactive attitude.

Proficiency in MS Office Suite and familiarity with organisational tools/systems.

Self-starter who can take ownership of tasks and drive projects forward.

Willingness to assist across various tasks and departments.

Excellent verbal and written communication skills
