Job Details

Position Summary: Responsible for reception area, phone system, direction of all visitors, Accounts Payable reconciliation and payroll entry.

Primary Responsibilities/Accountabilities of the Job:

1. Answers telephone and routes calls promptly; does not leave callers on "hold" and

unattended for longer than 20 seconds.

2. Greets visitors, has them to sign guest register, notifies person(s) being visited; if more than one-minute wait seems likely, offers and serves coffee.

3. Orders mail supplies and express shipment supplies as needed (including postage and packaging materials, and envelopes/boxes as needed from Airborne and others as applicable); handles all outgoing Airborne shipments.

4. Responsible for reporting any problems with telephone system.

5. Provides telephone training for new associates.

6. Operates copy machine as needed.

7. Types memos as needed for staff.

8. Updates phone listing as needed.

9. Maintains welcome boards.

10. Types labels as required/when needed.

11. Verifies hourly time cards for accuracy and does data entry.

12. Serves as a back-up to Administrative Assistant in his/her absence.

13. Sorts and distributes incoming mail.

Internal & External Contacts:

Internal : All Jonesville associates

External : Subject to handle any of our incoming calls. Vendors, phone service

Supervisory Responsibilities:

Direct : N/A

Indirect : N/A

Budgetary Responsibilities: Reconciles all accounts payable and forwards to corporate office after obtaining appropriate signatures.

Decision Making:

1. Sends calls to appropriate staff depending upon inquiry type.

2. Determines whether or not to forward incoming calls for associates based upon reason given.

Resourcefulness/Creativity: Uses available resources to reconcile accounts payable.

Environment: Fast paced with numerous interruptions and demands.

Qualifications & Experience:

Experience: Switchboard and/or telephone experience a big plus.

Education: HS Diploma minimum.. Business related post high school training is a plus.

Skills: Telephone skills required, courteous, good organizational skills, good computer skills required, good math skills a must, pleasant reception of visitors required.
