Job Details

Front of House (FOH)/ Operations Assistant:

Applicants must be London-based or able to commute to our East London office 5 days a week.

Reports to: Operations Coordinator and Operations Director



  • Full management of our Head Office reception
  • Act as the first point of contact for all enquiries both externally and internally
  • Ensure administration facilities are presentable and meeting rooms/hospitality scheduled
  • Distribute incoming mail and deliveries
  • Organising couriers and tracking parcels (DHL, UPS, FedEx, local same-day).
  • Mailbox management of FOH email accounts
  • Completing the office daily, weekly and monthly checks to ensure the high standard of the office is maintained
  • Work closely with and support the FOH Intern
  • Responding to ad-hoc queries from staff members promptly

Operations Assistant:

  • Support the Operations Director and the Operations Coordinator with all necessary tasks
  • Stationary and office supplies inventory management
  • Supporting logistics for senior team members and consultants
  • Ensure all office facilities are maintained and upkeep office maintenance calendar
  • Support in compliance of Health & Safety regulations
  • Liaison for all external contractors connected with the building Coordinate show period facilities (working closely with the Studio Coordinator), e.g. catering and facilities
  • Process and administration of Office Budget and related invoices
  • Support for Expense tracking for the Office team and Operations Director
  • Supporting HR and OPS with team members onboarding/offboarding
  • Assisting, where necessary, other departments with ad-hoc tasks and work cross-functionally with PA to Creative Director and EA to CEO

Skills and Experience Needed:

  • Previous administrative experience within a creative industry
  • MAC & PC experience
  • Proficient in MS Office
  • Excellent communication skills
  • Able to multitask and work cross-functionally with all departments.
  • Forward thinking
  • Positive attitude when problem-solving and troubleshooting
  • Well presented as you will be the face of our company
  • Additional languages a bonus
