Job Description

POSITION SUMMARY: Provides administrative and project support to EA and the Executive Vice President of Global Supply Chain. Duties will include coordinating meetings and travel arrangements, submitting expenses, managing calendar and phone, and special projects as assigned.


  • Provide both administrative support to Executive Vice President and EA.

  • Manage the logistics of all meeting preparation including booking conference rooms, ordering food and preparing any material.

  • Under the guidance of the EA, prepare materials daily for the EVP’s next day schedule.

  • Keep EVP on time throughout daily schedule.

  • Arrange and manage domestic and international travel, including flight and hotel arrangements as well as agenda support for duration of the trip.

  • Manage all incoming calls to EVP, take and disseminate messages as needed.

  • Serve as point of contact for of the EVP’s visitors. This includes frequent communication with senior executives and external constituents. This include. Greet guests upon arrival with the upmost professionalism and high touch.

  • Maintain department files both electronically and physically.

  • Create purchase orders and oversee the timely payment of Supply Chain vendors. Execute invoices and maintain budgets.

  • Maintain the EVP’s expense reports and approval of his direct reports expenses.

  • Assist the EA (when needed) in preparation of reports and presentations.

  • Manage the schedule of the EVP’s conference room.

  • Flexible hours to stay as needed, to assist on special projects and work flow. Ability to work with ease and efficiency in high activity work environment

The Ideal Candidate

  • College/University graduate.

  • 3 years work experience, preferably in a large corporate environment.

  • Excellent administrative, written and verbal skills.

  • Excellent Computer skills: Outlook, Microsoft Word, Excel and PowerPoint.

  • Excellent interpersonal communication skills with emphasis on confidentiality

  • Interest in/knowledge of Supply Chain preferred or a want to understand the Supply Chain and its functions.

  • Resourceful with good analytical capabilities

  • Team player, desire to continuously learn/ learning agility
